Terms and Conditions

Civil Weddings deliver professional, outstanding, and memorable ceremonies for all clients. As part of our service the following terms and conditions are in place to protect our clients by ensuring there is a clear understanding of the service(s) we provide.

            1. Enquiry Stage

              When you make an enquiry, any dates confirmed by Civil Weddings will be held for seven days pending receipt of your completed booking form and deposit.

            2. Bookings

                    1. Confirmed bookings are based on the information provided by the client and deemed accepted on receipt of payment of a non-refundable booking fee or payment in full and acknowledged in writing. No additional costs, or changes in costs can be made unless the client wishes to add the provision of extra services to the contract.
                    2. Once a booking has been confirmed a Statement of Fees will be issued for the services you require. Refer Section 3 below for further details on payment of fees.
                    3. Should the date of your ceremony change, the Civil Weddings celebrant will endeavour to come to an agreement with you to move the ceremony to a date which suits everybody.
                    4. Civil Weddings reserves the right to increase the fee payable due to altered instructions of engagement (e.g., ceremony time extended, inclusion of a symbolic ritual, ceremony moved to a public holiday day, or the venue changed). In such cases a revised Statement of Fees will be issued.
                    5. You agree to inform the Civil Weddings celebrant of any changes to music, vows, readings/poems, symbolic/unity ritual, participating children or adults, or anything effecting the ceremony, with reasonable notice of no less than two weeks before your ceremony date.
                    6. It is the responsibility of the clients to seek and gain approval from their venue for symbolic/unity rituals, particular the use of unity candles.
                    7. Any wine/mead/food/drink used during a symbolic/unity ritual is to be supplied by clients and not by the Civil Weddings celebrant, due to allergies or food intolerances.
            3. Payment of Fees

                    1. You must pay a non-refundable booking fee to secure your booking, refer Payment Terms for current fees. Please note, your booking is not secure, and no contract exists until paid.
                    2. Bookings less than 8 weeks to the day of the ceremony you must pay in full immediately.
                    3. Bookings more than 8 weeks away from the day of the ceremony; the following conditions apply:
                            1. Fifty percent (50%) of the ceremony fee is payable within 2 weeks on receipt of the Statement of Fees
                            2. The balance of the Statement of Fees must be paid thirty (30)  days prior to the ceremony. If you do not pay the balance of the fee at the prescribed time, Civil Weddings reserves the right to cancel the booking and retain the 50% fee paid.
                    4. There is a fee of £75.00 charged for ceremonies falling on a Public Holiday
            4. Optional additional fees

              If you wish to have a pre-ceremony rehearsal in your own home or at your chosen venue – an additional £50.00 fee is charged for the visit, plus mileage and overnight accommodation costs (if required).

            5. Cancellation Fees

                    1. If you cancel after the first draft review date and before the final proofread date, 50% of the ceremony fee will be retained, e.g., £100.00 paid – we will refund you £50.00 (50% of the fee paid).
                    2. If you cancel after the final proofread date and before the day of the ceremony, 80% of the total ceremony fee paid will be retained and 20% refunded, e.g., £200 total fee paid – £160 retained (80% of the ceremony fee) and £40.00 refunded (20% of the ceremony fee).
                    3. However, if there are any additional charges incurred by Civil Weddings (e.g., cancellation fees for rail fares, air fares, accommodation costs) they will be deducted from the 20% refund value. If the charges exceed the refund value you will be charged the nett difference (e.g., £40 refund value less £50 additional charges, you will be invoiced for the additional £10 costs.
            6. Warranties and Liability

              We warrant that the service(s) we provide will be carried out with reasonable care and skill. We will have no liability to you in respect of any loss arising from incorrect instructions or booking details given by you or other fault on your part and save as mentioned above or in respect of death or personal injury caused by our negligence, we will not be liable to you by reason of any representation, implied warranty condition or other term, or under the express terms of the contract. Our entire liability (otherwise that in respect of such death or personal injury) shall be limited to the amount paid by you in respect of our service(s) provided.

            7. Intellectual Property

              In making your booking, you acknowledge that the copyright and all other intellectual property in respect of the ceremony and all documentation or other materials used in or relating to the ceremony belongs to Civil Weddings. You are licensed to record the ceremony for your own personal use and enjoyment, but you are not entitled to use it otherwise or publish the whole or any part of the ceremony or its materials or place the ceremony content on social media or the internet without our express written permission.

            8. Contract

                        1. When a booking is confirmed in writing or electronically, a contract is deemed to exist. Variations to the Assignment, or to the services under it may only be agreed in writing. Services outside the scope of the Assignment will attract additional charges.
                        2. The Client grants to Civil Weddings consent to use any work including photographs created as part of the Assignment to show off its services, together with the right to display images as part of its portfolio and to write about the Assignment on websites, and in its marketing materials. It is also the Client’s responsibility to obtain all relevant consents from any guests attending at the wedding to the use of images as set out in this clause, and to notify Civil Weddings if any guests do not wish their images to be used. If you do not wish to grant this consent you must confirm this in writing to info@civilweddings.co.uk within 7 days of entering into this agreement.
                        3. The Assignment may be terminated if payments are not made in accordance with these terms; or if the Client commits a material breach of any of these terms and fails to remedy the breach within 14 days of being notified in writing; or the Client makes any statements or behaves in any way or requests Civil Weddings to undertake any actions that are discriminatory, illegal, or immoral. Upon termination the Client shall immediately pay any outstanding payments, for work done to that point, to Civil Weddings.
                        4. Following the conclusion of the Assignment, Civil Weddings may wish to contact you to request testimonials, recommendations, or feedback on the services. By agreeing these terms, you are consenting to that contact by Civil Weddings.
            9. Jurisdiction

              All parties irrevocably agree, any dispute arising from these terms, that the courts of England shall have exclusive jurisdiction to hear, settle and/or determine any dispute, controversy, or claim (including any non-contractual dispute, controversy, or claim) arising out of or in connection with this agreement, including any question regarding its existence, validity, formation, or termination. For these purposes, each party irrevocably submits to the jurisdiction of the English courts.

            10. Privacy & Data Protection – Ceremonies

              Civil Weddings regards the lawful and correct treatment of personal information as very important to the successful and efficient performance of its functions, and to maintain confidence between those with whom it deals. Civil Weddings fully endorses and adheres to the Principles of Data Protection, as set out in the Data Protection Act 1998 and the requirements of the General Data Protection Regulation (GDPR).

              We are committed to protecting your privacy and promise only to use information collected about you to administer your account and to provide you with the service(s) that you have requested from us. The information you give will only be used to process the service(s) you have purchased from us. At no time will any information gained about you be passed on to any third-party without your explicit consent in writing. The only exception to this is when required by law. For further information regarding Privacy and Data Protection please refer to our Privacy Policy.

            11. Fulfilment of Obligations

              Civil Weddings will endeavour in good faith to fulfil all engagements. However, Civil Weddings will not be held responsible for lateness due to circumstances beyond the celebrant’s control, such as traffic, accidents, extreme weather conditions, industrial action, failure of public services. If a venue/ceremony location is over 100 miles from the celebrant’s base location, an overnight stay is suggested to prevent issues of lateness.

              In the event of the Civil Weddings celebrant being unable to deliver the ceremony, due to unforeseen circumstances, Civil Weddings will endeavour to provide a substitute fully trained celebrant and pass on full details of the booking and planning documentation for the event. Failure on Civil Weddings part to provide an alternative celebrant the client will receive a refund, according to the circumstances prevailing.

              The Civil Weddings celebrant reserves the right to leave the ceremony venue/location after one hour if clients do not attend or keep the celebrant informed of reasons for lateness / non-attendance.

            12. Copyright

              Unless stated to the contrary, all material on this web site, contents, logo and other visual media is copyright of Civil Weddings. Duplication or sale of all or any part of it is not permitted. Permission for any other use must be obtained from Civil Weddings. Electronic or print copies may not be offered, whether for sale or otherwise, to any third party.

            13. Disclaimer

              Some images used by Civil Weddings are from free image repositories. Although published content is believed to be authorized for sharing and personal use either by the up-loader / author or for being Public Domain / Free Content licensed, unless otherwise noted in the description, all images on this website are protected by copyrights to their respective owners.

              If you feel you would like to use an image for any particular purpose, please make sure you get prior permission from the owner of the image.

              However, if you believe Civil Weddings have mistakenly used an image that does not comply with Public Domain / Free Content licensing, please use the contact page to inform us, and provide the following detail:

              • Your cause of concern

              Any images owned by Civil Weddings may be shared on social media or company websites or blogs providing there is the photo credit ‘Civil Weddings’ that links back to our website civilweddings.co.uk under the photo(s).

              If sharing on social media we ask that Civil Weddings be tagged on the relevant site e.g., Civil Weddings on Instagram if photos are shared on your Instagram account.

              If you would like to use any images owned by Civil Weddings without a photo credit (i.e., in the context of a magazine advertisement, brochure, banner, poster etc) whether it be print or online – then our commercial licensing fees apply which is £50.00 per image per publication, renewed each year the image is used. Please note this is subject to permission being given by individuals or each couple who appear in the photo for the image to be used in an advertisement.

              Civil Weddings accepts no liability for any loss or damage resulting, directly or indirectly, from any use of the information or material contained on this web site, or any site accessed from this site.

            14. Computer viruses

              All reasonable endeavours have been taken to ensure that this web site does not contain or promulgate any viruses or other malicious code. However, it is recommended that you should virus check all materials downloaded from this web site and regularly check for the presence of viruses and other malicious code.

            15. Links to other sites

              Where links have been provided to other web sites which may be of interest, these sites are independent and Civil Weddings cannot endorse or accept any responsibility for their content.

              Civil Weddings has no control over, and assumes no responsibility for the content, privacy policies, or practices of any third-party web sites or services. You further acknowledge and agree that Civil Weddings shall not be responsible or liable, directly, or indirectly, for any damage or loss caused or alleged to be caused by or in connection with use of or reliance on any such content, goods, or services available on or through any such web sites or services.

            16. Variations to this agreement

              Civil Weddings reserves the right to vary the terms and conditions of this Agreement from time to time. Such variations become effective immediately upon the posting of the varied Agreement on the web site. By continuing to use the web site you will be deemed to accept such variations.
