Terms and Conditions

Civil Weddings delivers professional, outstanding and memorable ceremonies for all clients. These Terms and Conditions ensure there is a clear understanding of the services provided and protect both parties throughout the planning and delivery of your ceremony.

When you make an enquiry, any dates confirmed by Civil Weddings will be held for seven days pending receipt of your completed booking form and booking fee.

A booking is confirmed once the non refundable booking fee (or full payment, where applicable) has been received. Confirmation of payment creates a binding contract between the Client and Civil Weddings. No additional costs or changes in costs can be made unless the Client wishes to add extra services to the contract.

Once a booking has been confirmed, a Statement of Fees will be issued for the services you require. Refer to Section 3 for further details on payment of fees.

Should the date of your ceremony change, the Civil Weddings celebrant will endeavour to agree a new date that suits all parties.

Civil Weddings reserves the right to increase the fee payable if instructions of engagement change (for example, the ceremony time is extended, a symbolic ritual is added, the ceremony is moved to a public holiday, or the venue is changed). In such cases, a revised Statement of Fees will be issued.

You agree to inform the Civil Weddings celebrant of any changes to music, vows, readings or poems, symbolic or unity rituals, participating children or adults, or any other element affecting the ceremony, with reasonable notice of no less than two weeks before your ceremony date.

It is the responsibility of the Client to seek and gain approval from their venue for symbolic or unity rituals, particularly the use of unity candles.

Any wine, mead, food or drink used during a symbolic or unity ritual must be supplied by the Client.

A non refundable booking fee must be paid to secure your booking. Your booking is not secure, and no contract exists, until the booking fee has been paid.

For ceremonies taking place within eight weeks of the ceremony date, full payment is required immediately.

For ceremonies more than eight weeks away, the following conditions apply:

• • • Fifty percent (50%) of the ceremony fee is payable within two weeks of receiving the Statement of Fees.
    • The remaining balance must be paid thirty (30) days prior to the ceremony.

If the balance is not paid by the prescribed time, Civil Weddings reserves the right to cancel the booking and retain the 50% fee paid.

A fee of £75.00 is charged for ceremonies falling on a Public Holiday.

If you wish to have a pre ceremony rehearsal in your home or at your chosen venue, an additional £50.00 fee is charged for the visit, plus mileage and overnight accommodation costs if required.

If you cancel after the first draft review date and before the final proofread date, seventy five percent (75%) of the ceremony fee will be retained. For example, if £100.00 is paid, £75.00 will be retained and £25.00 refunded.

If you cancel after the final proofread date and before the day of the ceremony, one hundred percent (100%) of the ceremony fee will be retained. No refund will be issued.

If any additional charges have been incurred by Civil Weddings relating to cancellation (including rail fares, airfares, accommodation costs or other expenses), these will be deducted from any refund due. If such costs exceed the refund value, the Client will be invoiced for the difference.

Civil Weddings warrants that the services provided will be carried out with reasonable care and skill. Civil Weddings will have no liability to you in respect of any loss arising from incorrect instructions or booking details given by you, or other fault on your part. Except in respect of death or personal injury caused by negligence, Civil Weddings shall not be liable for any representation, implied warranty, condition or other term, or under the express terms of the contract. Liability is limited to the amount paid by you for the services provided.

By making your booking, you acknowledge that the copyright and all other intellectual property relating to the ceremony and all documentation or materials used in or relating to the ceremony belong to Civil Weddings. You are licensed to record the ceremony for your own personal use and enjoyment, but you are not entitled to use or publish the ceremony wording or materials, in whole or in part, on social media or the internet without express written permission.

A contract is deemed to exist once the non refundable booking fee (or full payment, where applicable) has been received. Variations to the Assignment, or to the services under it, may only be agreed in writing. Services outside the scope of the Assignment will attract additional charges.

The Client grants Civil Weddings consent to use any work, including photographs created as part of the Assignment, to showcase its services, display images as part of its portfolio, and write about the Assignment on websites and in marketing materials. It is the Client’s responsibility to obtain all relevant consents from guests attending the wedding and to notify Civil Weddings if any guests do not wish their images to be used. If you do not wish to grant this consent, you must confirm this in writing to info@civilweddings.co.uk within seven days of entering into this agreement.

The Assignment may be terminated if payments are not made in accordance with these terms; if the Client commits a material breach of any of these terms and fails to remedy the breach within 14 days of being notified in writing; or if the Client makes any statements or behaves in any way, or requests Civil Weddings to undertake any actions, that are discriminatory, illegal or immoral. Upon termination, the Client shall immediately pay any outstanding payments for work completed to that point.

Following the conclusion of the Assignment, Civil Weddings may contact you to request testimonials, recommendations or feedback on the services. By agreeing to these terms, you consent to such contact.

All parties irrevocably agree that the courts of England shall have exclusive jurisdiction to hear, settle and determine any dispute, controversy or claim arising out of or in connection with this agreement, including any question regarding its existence, validity, formation or termination.

Civil Weddings regards the lawful and correct treatment of personal information as essential to the successful and efficient performance of its functions and to maintaining confidence with clients. Civil Weddings adheres to the Data Protection Act 1998 and the General Data Protection Regulation (GDPR).

Information collected will only be used to administer your account and provide the services requested. Information will not be passed to any third party without your explicit written consent, except where required by law. For further information, please refer to our Privacy Policy.

Civil Weddings will endeavour in good faith to fulfil all engagements. However, Civil Weddings will not be held responsible for lateness due to circumstances beyond the celebrant’s control, such as traffic, accidents, extreme weather conditions, industrial action or failure of public services. For venues more than 100 miles from the celebrant’s base location, an overnight stay may be recommended to minimise the risk of delay.

If the celebrant is unable to deliver the ceremony due to unforeseen circumstances, Civil Weddings will endeavour to provide a substitute fully trained celebrant and pass on full details of the booking and planning documentation. If Civil Weddings is unable to provide an alternative celebrant, the Client will receive a refund according to the circumstances prevailing.

The celebrant reserves the right to leave the ceremony venue or location after one hour if clients do not attend or fail to keep the celebrant informed of reasons for lateness or non attendance.

Unless stated otherwise, all material on this website, including content, logo and visual media, is copyright of Civil Weddings. Duplication or sale of any part of it is not permitted. Permission for any other use must be obtained from Civil Weddings. Electronic or print copies may not be offered to any third party.

Some images used by Civil Weddings are from free image repositories. Although published content is believed to be authorised for sharing and personal use, all images remain protected by copyright. If you wish to use an image, please obtain permission from the owner.

If you believe Civil Weddings has mistakenly used an image that does not comply with licensing, please contact us with the image title, URL and your concern.

Images owned by Civil Weddings may be shared on social media or websites, provided the photo credit “Civil Weddings” is included and links back to civilweddings.co.uk. If sharing on social media, please tag Civil Weddings on the relevant platform.

If you wish to use any Civil Weddings images without a photo credit, commercial licensing fees apply (£50.00 per image per publication, renewed annually), subject to permission from individuals or couples appearing in the image.

Civil Weddings accepts no liability for any loss or damage resulting from use of information or material on this website or any linked site.

All reasonable endeavours have been taken to ensure that this website does not contain viruses or malicious code. You should virus check all materials downloaded from this website and regularly check for the presence of viruses or malicious code.
